Rafaboni (“Rafaboni,” “we,” “us,” or “our”) provides web development, digital advertising campaigns, AI-powered virtual assistants (including A.R.I.A., our virtual assistant), AI virtual receptionists, automation, and AI brand character services through the website rafaboni.uk and the applications we publish (collectively, the “Services”).

This Privacy Policy explains what information we collect, how we use it, with whom we share it, how long we keep it, and how you can exercise your rights. If you have any questions, please contact us at info@rafaboni.uk.

• Information you provide to us: your name, email address, phone number, company, and the content of the messages, forms, or proposal requests you send us.
• Calls and conversations with assistants: when you speak with A.R.I.A. or with an assistant we operate (by phone, WhatsApp, web chat, or other channels), we may process your phone number, call audio, transcripts, messages, and generated summaries.
• Technical information: IP address, browser and device type, pages visited, and server logs needed to operate and protect the Services.
• Third-party accounts you connect: if you authorize access to an account (for example, Google), we receive only the data covered by the permissions you expressly approve.
• Information about our clients’ customers: when we provide a service to a business, we process its customers’ data on its behalf and according to its instructions, as a data processor.

If you sign in with Google or connect your Google account to our applications, we access only the data covered by the permissions (scopes) you authorize on the consent screen, such as your name, your email address, and, only if a feature requires it and you approve it, data from services such as Google Calendar, Gmail, or Google Drive.

• We use that data only to provide and improve the features you requested (for example, scheduling appointments on your calendar or replying to emails on your behalf) and to display them to you within the application.
• We do not sell Google user data or use it for advertising.
• We do not transfer it to third parties, except to service providers necessary to deliver the feature, when required by law, or as part of a merger or acquisition with appropriate notice.
• We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.
• No person reads that data, except with your express consent, when necessary for security purposes or to investigate abuse, or to comply with the law.

Rafaboni’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can revoke access at any time at myaccount.google.com/permissions.

• To provide, operate, and maintain the Services you have contracted for or requested.
• To respond to your messages, calls, and proposal requests.
• To schedule appointments and send confirmations, reminders, and summaries.
• To improve the quality, security, and performance of the Services.
• To comply with legal obligations and prevent fraud or abuse.
• To send you marketing communications only if you have opted in; you may unsubscribe at any time.

We process your information on the basis of your consent, the performance of a contract or of pre-contractual steps you requested, our legitimate interest in operating and protecting the Services, or compliance with legal obligations, as applicable in each case.

We do not sell your personal information. We share it only with:

• Service providers that help us deliver the Services, for example: hosting and infrastructure (Cloudflare), telephony and messaging (Twilio, WhatsApp/Meta), email (Zoho), and artificial intelligence and voice providers. Each of them processes the data only to provide its service to us.
• Authorities, when required by law or to protect rights, safety, or property.
• A successor, in the event of a merger, acquisition, or sale of assets, with appropriate notice.

Calls handled by A.R.I.A. or other virtual receptionists may be recorded, transcribed, and summarized in order to provide the service, improve its quality, and keep a record of what was requested. If you do not agree, you may end the call and contact us by email.

We retain information only for as long as necessary for the purposes described above or while a business relationship exists, and thereafter for the period required by law. Call recordings and transcripts are retained for up to 12 months, unless the contract with the client specifies a different period.

To request deletion of your data, email us at info@rafaboni.uk with the subject line “Delete my data.” We will respond within 30 days and delete your information, including data obtained from Google, except for information we are required to retain by law. You may also revoke our applications’ access to your Google account at any time.

We apply reasonable technical and organizational measures to protect information, such as encryption in transit (HTTPS), access controls, and providers that meet recognized standards. No system is completely secure, but we work to protect your data.

Our service providers may process data outside your country. In those cases, we seek to ensure that appropriate safeguards are in place in accordance with applicable law.

Depending on applicable law (for example, the GDPR / UK GDPR, Colombia’s Law 1581 of 2012, or US state privacy laws), you may request access to, correction, deletion, or portability of your data, object to or request restriction of its processing, and withdraw your consent at any time. Contact us at info@rafaboni.uk. If you believe we have not addressed your request, you may contact the data protection authority in your country.

The website uses only the cookies and similar technologies that are strictly necessary for it to function and remain secure. We do not use advertising cookies. To count visits to each page we use Cloudflare Web Analytics, which does not use cookies or browser storage and only provides aggregate data (page views, country, device type). If we add advertising tools in the future, we will update this policy and, where required, ask for your consent.

The Services are not directed to children under 13 (or under 16 in the European Union and the United Kingdom), and we do not knowingly collect their data. If you believe a child has provided us with information, please contact us so we can delete it.

We may update this policy. We will post the current version on this page with its last-updated date and, if the changes are material, we will notify you by reasonable means.
